If you ask for a site

We collect your name, email, phone number, business details and anything else you give us in the form or on the phone, plus your internet address and browser. If you call us, an automated assistant takes your details, and we keep the transcript for up to 30 days.

If you don't choose the form's "Don't use AI" option, AI writes your site from your answers. If you attach documents, AI also reads them to pick out facts for your site. Please leave out anything private. We delete the documents when your site goes live, or when your request ends, and keep only the notes taken from them.

If you tick the box to hear about other SMART5 services, we may email you about them. You can stop this at any time by replying or emailing us. We save when you agreed.

We use these details to build and run your site, to contact you about it, and to keep it to one free site per owner. We rely on our contract with you, and on our legitimate interest in preventing misuse.

We keep your details while your site exists. When it is deleted we remove them, apart from scrambled values used only for the one-site check, and any records we must keep by law.

If you send a message through a site

It goes to the site's owner, with a copy to us. We save it with its technical details for 24 months, then delete it automatically. Each site's own privacy notice gives the details.

Who else handles the details

We use Amazon Web Services for hosting, email, phone calls and AI (Claude, by Anthropic, provided through AWS). Your details are held in the UK and EU where possible. If AI processing has to fall back to another region, it remains protected under AWS's data protection terms.

Visits and cookies

If you accept, we use Google Analytics, a service from Google, to see how people use our sites. It sets cookies and sends Google details of your visit, such as the pages you view, your device and your rough location. Google may handle this data outside the UK. We keep it for up to 14 months. These cookies are stored for all websites on tellasite.com, so if you accept on more than one of them, Google may see you as the same visitor. They're only used on a site where you've accepted. It's optional, we don't use it to advertise, and you can change your mind with the "Cookie settings" link at the bottom of the page.

Our hosting also logs each request, including internet addresses, for up to 35 days, to count visits and keep sites safe.

Your rights

You can ask to see, correct, delete or object to how we use your details by emailing us. You can also complain to the Information Commissioner's Office.
